However, there may be times when plans change and you need to cancel or request a refund for your gorilla permit. Understanding the refund and cancellation policies is crucial to avoid disappointment or loss of money. Here’s a clear breakdown of the guidelines for gorilla permit refunds and cancellations in Uganda.

General Refund and Cancellation Policy

Uganda Wildlife Authority (UWA), which manages gorilla trekking permits, has specific rules regarding cancellations and refunds. The policies are designed to ensure fair handling while maintaining the park’s capacity limits. Gorilla permits are in high demand, and cancellations are managed based on a set timeline to allow others to book in your place.

No Refund After Payment

Once payment for a gorilla permit has been made, it is non-refundable. This includes both domestic and international bookings.

Transfer Option

While a refund is not possible, you can transfer your gorilla permit to another person. However, this must be done well in advance. Transfer requests must be sent to the UWA office and are subject to approval.

Partial Refund (Under Exceptional Circumstances)

In rare cases, such as a cancellation due to illness or other unavoidable situations, the UWA may offer a partial refund, but this is not guaranteed. A medical certificate or proof of an emergency may be required for such cases.

Cancellation Guidelines and Timeframes

The cancellation policy is based on when you decide to cancel or make changes to your gorilla permit reservation:

Cancellation 61 Days or More Before the Trek

You can cancel your permit more than 60 days before the trekking date and receive a 50% refund. The remaining 50% is retained by the UWA as an administrative fee.

Cancellation Between 30 and 60 Days Before the Trek

If you cancel between 30 and 60 days before your scheduled trek, you can expect to receive a 25% refund. The rest of the amount is retained.

Cancellation 30 Days or Less Before the Trek

Cancellations made less than 30 days before the scheduled trek date are non-refundable. This policy ensures that the limited number of permits is not left unused, given the high demand for gorilla trekking in Uganda.

No-Shows and Last-Minute Cancellations

If you fail to show up for your scheduled gorilla trekking without prior cancellation, you will not be refunded. No-shows are considered cancellations, and the full amount is forfeited.

Changing the Trek Date

If you need to change the date of your gorilla trekking experience, UWA requires that changes be made at least 30 days before the scheduled trek. While this doesn’t guarantee a refund or discount, changing your trekking date may be possible depending on availability. The UWA may charge an administrative fee for processing the change.

Force Majeure Situations

In cases of natural disasters, political instability, or other exceptional events beyond your control, the UWA may consider offering a refund or permit transfer. It is important to keep up with local conditions and check for any official notifications from the UWA or your tour operator regarding such circumstances.

How to Cancel or Transfer Your Permit

To cancel or transfer a gorilla permit, follow these steps:

Contact the Uganda Wildlife Authority (UWA): Reach out to the UWA’s reservations office or the authorized tour operator where you purchased the permit.

Provide Details: Have your booking information ready, including the permit number, names, and dates.

Follow Up: If transferring a permit to another person, ensure the new details are confirmed by the UWA.

If you believe you are eligible for a refund under the rare circumstances outlined, it’s essential to:

Submit a Request in Writing: Email the UWA office, explaining your situation and providing any required documentation (e.g., medical certificates for illness).
